TERMS AND CONDITIONS FOR USE OF THE JEWEL AEIDA BANQUET HALL AND MEETING ROOMS

Clients who wish to use The Jewel Aeida spaces should fill these application forms with as as detailed as possible for their events. The management reserves the right to reject any application from any individual or organization whose activities are considered incompatible with the aims and objectives of The Jewel Aeida.

 

USE OF JEWEL AEIDA VENUE

OPERATING HOURS: Our hours of operation are 7am – 10pm of which you have any 8 hours in this timeframe to conduct your event.

Events lasting longer than 8 hours or beyond 10pm attract a charge  of ₦100,000 per hour for the Victoria and Rebecca Seminar Rooms and other spaces and ₦200,000 for The Dele Pearl Ballroom.

Event Organizers must ensure that all properties brought into the venue are removed from the premises within 6 hours after their event. Failure to do so would attract a surcharge which shall be deducted from the refundable deposit paid by the offending party and/or the client.

 

PAYMENT POLICY

To secure a booking, a minimum of 50% payment of the cost of the hall must be made within a week of reservation, while the balance payment should be made no later than thirty (30) days before the event. For bookings less than 6 weeks, full payment is required.

ALL PAYMENTs SHOULD BE MADE INTO THE JEWEL AEIDA ACCOUNT.

CASH PAYMENT TO ANY STAFF OF THE JEWEL AEIDA IS PROHIBITED. Reservations not fully paid for (2) weeks before the date of event will be deemed as cancelled unless agreement is reached with The Jewel Aeida.

 

POSTPONEMENT, CANCELLATION AND REFUND

Full payment of the event fee must be made 1 (one month) before the event date. The Jewel Aeida will only consider postponement of an event once. Notice for postponement must be made a minimum of  six (6) weeks before the event date.

A second request for postponement or any request for postponement less than 6 weeks before the event date is considered and treated as cancellation. Cancellations will automatically attract retainment of fees as detailed in the table below.

Claims for refund shall be made in writing and shall be accompanied by the original copy of receipt of payment and forwarded to the Chief Executive Officer of The Jewel Aeida.  Refunds can only be made to the account the event fees were originally paid from.

POSTONEMENT SCHEDULE POSTONEMENT CHARGE POLICY
1-30 days prior to the initial Event 100% of the Contract Price will be charged
30-45 days prior to the initial Event 50% of the Contract Price will be charged and 50% will be applied as credit to the new Event Date
46-60 days prior to the initial Event 20% of the Contract Price will be charged and 80% will be applied as credit to the new Event Date
61 days and above prior to the initial Event Full credit will be forwarded to the new Event Date

DECORATION AND PUBLICITY

  • Pasting of banners, flyers, posters etc., are not allowed on the walls, floors, furniture and other fixtures by nails or any other objects at the venue.
  • Fireworks not permitted indoors. Pyrotechnic display requires the advanced approval of the appropriate Jewel Aeida staff.

No simulated smoke, fog or any other special effects that may affect The Jewel Aeida   fire and smoke detector system are permitted.

  • The Jewel Aeida does not permit anything to be affixed to walls, floors, or ceilings with nails, tapes, staples, or other substances without prior written approval.  Provisions have been made for skirtings in each space for hanging.

  • The Jewel Aeida is a non-smoking facility

 

HALL CAPACITY

Event organizers or Event owners are advised  to note the maximum seating capacity of the hall and ensure that the number of invited guests do not exceed seating capacity of the hall. The Jewel Aeida reserves the right to ensure that halls are not overcrowded in accordance with fire regulations.

 

SAFETY AND SECURITY

Event Organizers are required to comply with all existing safety and security which are enforced at The Jewel Aeida halls. Event Organizers are to ensure safety of their clients or guests.

  • Provide additional safety signage where necessary
  • Ensure emergency exits, equipment or signage are NOT covered or obstructed in anyway.

The Jewel Aeida assumes no responsibility or liability for items brought into the premises which are being utilized by the Event Organizers.

The Jewel Aeida reserves the right to crowd control or to maintain order during an event and have final approval on any security arrangements and personnel in respect of any function.

Clients MUST evacuate all equipment and properties within 6 hours after their event. Failure to do so will attract a surcharge of ₦50,000 daily.

The Jewel Aeida reserves the right to dispose of any set or decoration items not collected 24 hours after the event.

The Jewel Aeida is not responsible for lost items left on the premises prior to or following an event.

The Jewel Aeida reserves the right to increase prices, if necessary, in line with rising cost of operation.
